The Town of Townsend is seeking a professional, organized, and customer-service-oriented individual to serve as our Part-Time Administrative Assistant. This position plays a vital role in supporting the daily operations of Town Hall and serves as one of the primary points of contact for residents, businesses, contractors, and visitors.
The successful candidate will provide administrative, clerical, permitting, customer service, and financial support functions while helping ensure efficient and responsive municipal operations.

Position: Part-Time Administrative Assistant
Department: General Administration
Reports To: Town Manager
FLSA Status: Non-Exempt
Essential Responsibilities
Customer Service & Front Office Operations
- Serve as the first point of contact for residents and visitors.
- Answer phones, respond to inquiries, and provide information regarding Town services, programs, and procedures.
- Maintain a welcoming and professional front office environment.
Administrative Support
- Perform a variety of administrative duties including correspondence, document preparation, scanning, filing, scheduling, and record management.
- Manage incoming and outgoing mail and maintain Town mail logs.
- Coordinate conference room reservations, meetings, and travel arrangements.
- Maintain Town forms, templates, and administrative records.
Support to Town Leadership
- Assist with preparation of meeting agendas, packets, minutes, public notices, and other official documents.
- Support compliance with Freedom of Information Act (FOIA) requirements.
- Assist the Town Manager with correspondence, reports, research, and resident inquiries.
Permitting, Licensing & Inspections
- Process building permits and Certificates of Occupancy.
- Maintain contractor, business license, and permit records.
- Administer rental license applications and documentation.
- Coordinate inspections with the Town’s contracted building official.
Property Information Requests
- Receive, track, process, and complete Property Information Requests (PIRs).
- Prepare invoices and coordinate the collection of required documentation.
- Ensure requests are processed accurately and in accordance with Town policies.
Financial & Utility Support
- Process payments for taxes, utilities, permits, licenses, and other municipal fees.
- Assist with utility account creation and maintenance.
- Support billing processes, including utility bills, tax bills, and trash collection notices.
- Assist with financial data entry and purchasing processes.
Communications & Community Engagement
- Assist with maintaining and updating the Town website.
- Publish notices, forms, and important community information.
- Support resident communications and outreach initiatives.
Office Operations
- Monitor office supply inventory and assist with ordering.
- Maintain park reservation records and resident service requests.
- Support departmental projects and special initiatives as assigned.
Qualifications
- High school diploma or equivalent required.
- Previous administrative, clerical, municipal government, or customer service experience preferred.
- Strong organizational, communication, and customer service skills.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Ability to maintain confidentiality and handle sensitive information.
- Ability to multitask, prioritize assignments, and work independently.

NOTICE OF BID OPENING FOR ROAD REPAVING
In accordance with the Town’s Purchasing Policy, notice is hereby given that the Town of Townsend will be opening a bid for road repaving for the Town of Townsend.
Bid Opening Date: June 5th, 2026
Submission Deadline: June 30th, 2026
Location of Submission: 141 Main Street, PO Box 223 Townsend, DE 19734
The Town of Townsend is soliciting proposals from qualified and licensed companies that will be responsible for providing all labor, equipment, materials, and related services necessary to complete the roadway repaving improvements in accordance with the specifications outlined in the RFP documents. All bids must be received by the submission deadline. Late submissions will not be considered.
Interested parties may obtain the full Request for Proposals (RFP) by viewing the Town’s Website.
